3. Phone calls, recording and AI voice interactions
AI disclosure. Calls to our business line, and calls answered on behalf of our clients, may be answered by an automated AI voice assistant rather than a person. The assistant is designed to identify itself as an AI assistant and will not claim to be a human. You can ask to speak with a person at any time, and the assistant will offer a callback or transfer where available.
Recording and transcription. Where call recording is enabled, callers are informed at the start of the call that the call may be recorded. Calls may be recorded and transcribed, and an automated summary may be created and stored in our CRM system. If you do not want your call recorded, you may end the call and contact us by email instead.
[COUNSEL TO CONFIRM: exact recording disclosure script; all-party consent requirements, including California Penal Code § 632 and other all-party-consent states; California bot-disclosure requirements (Bus. & Prof. Code § 17940 et seq.); whether recordings are enabled by default; and any outbound AI-voice calling, which must not occur without the consent required by the TCPA and FCC rules.]
4. Information we process for our business clients
When we answer calls or capture leads on behalf of a business client, we process callers’ information (such as name, phone number, reason for calling, appointment details, call recordings, transcripts and summaries) according to that client’s instructions and our agreement with them. In that role, the client’s own privacy policy governs how the client uses that information. Callers who want to exercise privacy rights regarding information collected for one of our clients should contact that business directly; we will assist our clients in responding as required by our agreements and applicable law.
[COUNSEL TO CONFIRM: service-provider / contractor terms in client agreements, and client responsibility for their own caller disclosures.]
5. Text messages (SMS)
If you provide your mobile number and give consent (for example, by checking an unchecked SMS consent box on our forms), we may send text messages related to your inquiry, appointments and our services. Consent to receive text messages is not a condition of purchase. Message frequency varies. Message and data rates may apply. Reply STOP to opt out at any time or HELP for help. Submitting a general inquiry without SMS consent does not authorize marketing text messages.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent are excluded from all sharing described in this policy and will not be shared with any third parties, except service providers that deliver messages on our behalf.
