AI Voice
An AI Voice Assistant That Handles the Calls Your Team Can’t Get To
A phone assistant configured around your business: it greets callers, understands what they need, gathers the right details, and either books the next step or gets the call to a person.
What it is
What AI Voice Is, in Plain Terms
AI Voice is software that answers a phone call and holds a real conversation. Instead of a phone tree that asks callers to “press 2,” the caller simply explains what they need, and the assistant responds.
It works from instructions and business information you approve. It doesn’t browse the internet for answers or improvise policies. When a call goes beyond what it’s been set up to handle, it hands off or takes a message.
It is
- A conversational phone assistant
- Trained on your approved information
- Connected to your CRM and calendar where supported
It isn’t
- A phone tree or voicemail box
- A replacement for your whole team
- Free to make up answers
Capabilities
What It Can Handle
Typical responsibilities, each switched on and shaped for your business.
Common questions
Hours, services offered, areas served, what to expect on a visit.
New-customer intake
Name, phone, address, the issue and preferred timing.
Qualification
Your screening questions, asked the same way every call.
Scheduling
Booking into a connected calendar, or capturing a request for your dispatcher.
Transfers & callbacks
Routing to a person, or recording who needs a call back.
Summaries & records
A written recap of each call and the details saved to your CRM.
Inbound call process
One Inbound Call, Step by Step
Here’s how a typical new-customer call moves through the assistant.
- 1
Greeting
The call is answered with your business name and a short, friendly greeting.
- 2
Listening
The caller explains in their own words. The assistant identifies the type of request and any urgency.
- 3
Questions
It asks the follow-up questions you’ve defined and answers questions from approved information.
- 4
Next step
It offers an appointment, records a request, takes a callback, or transfers the call based on your rules.
- 5
Wrap-up
It confirms what happens next with the caller, then saves the details and a summary.
Qualification
You decide what makes a good lead: service type, location, property type, timeframe, budget range or anything else that matters. The assistant asks those questions naturally, records the answers, and can treat callers differently depending on how they respond, for example booking qualified callers and sending others to a callback list.
Appointment Booking
With a supported calendar connected, the assistant can check availability and book appointments during the call, respecting the appointment types, durations and windows you set. If your schedule is managed by a dispatcher, it captures the request and preferred times so your team can confirm.
CRM Capture
Caller details, answers to your questions, a call summary and the requested next step can be saved to your CRM, creating a clear record your team can act on, even for calls that came in overnight.
Human Escalation
Set the triggers: a caller asks for a person, a situation sounds urgent, or a question is outside the approved script. Those calls can be transferred to a number you choose, or flagged for a priority callback with the details already captured.
After hours
After-Hours Use
After hours is where many service businesses feel the gap most. The assistant can answer every after-hours call and follow a separate set of rules from daytime calls.
- Capture details for first-thing-in-the-morning follow-up
- Escalate defined urgent situations to an on-call contact
- Let callers know when they can expect to hear from you
- Book next-day appointments if your calendar allows it
Customization
Shaped Around How You Work
Every assistant is configured for one business. Common settings include:
- Greeting, voice and tone
- Services, service area and hours
- Approved answers to frequent questions
- Qualification questions and rules
- Booking rules and appointment types
- Escalation contacts and conditions
- What gets saved to your CRM
Implementation & testing
Built Carefully, Tested Before Launch
Implementation process
We start with a discovery conversation about your calls, then collect your business information, design the conversations, connect your calendar and CRM where supported, and set up escalation rules. You review the plan before we build.
Testing
Before launch, we test the assistant against realistic scenarios: routine questions, new-customer intake, urgent calls, off-topic questions and callers who ask for a person. Then you test it yourself and request revisions. It goes live only after you approve it.
AI Voice Questions
Does it sound robotic?
Modern AI voices are conversational and natural-sounding. You will hear the actual voice options in your demo and during testing, and you choose the one that fits your business before launch.
Will callers know they are talking to AI?
We recommend being upfront. The greeting can identify the assistant as a virtual or AI assistant for your business, and callers can ask for a person at any time when transfers are set up.
Can it use my existing business phone number?
Usually, yes. Calls can typically be forwarded from your existing number for after-hours or overflow coverage, or a dedicated number can be used. The best setup depends on your phone provider and is reviewed during discovery.
What if a caller has an emergency?
You define what counts as urgent for your business. Those calls can be routed to an on-call number or flagged for immediate callback. The assistant does not replace emergency services, and callers with life-safety emergencies should always call 911.
Can I change what it says later?
Yes. Hours, services, answers and rules can be updated after launch. Changes are tested before they go live.
