How We Build and Launch Your AI Voice Assistant
A structured process, from understanding your calls to monitoring live performance, so nothing goes live until it’s ready and you’ve approved it.
Phase 1
Discover
Understand how calls work today.
- 01
Discovery
We talk through how calls are handled now, where they get missed, which call types matter most, and what a successful outcome looks like.
- 02
Business Information
We collect what the assistant needs to know: services, hours, service area, policies, team contacts and how you want callers treated.
Phase 2
Build
Configure the assistant around your business.
- 03
Knowledge Base
Your approved information is organized into a knowledge base the assistant answers from.
- 04
Conversation Design
We write the greeting, the flow for each call type, and how the assistant should sound.
- 05
Integrations
Where supported, we connect your calendar, CRM and phone setup so information flows where it should.
- 06
Qualification Rules
We define the questions to ask and what happens with qualified, unqualified and unclear callers.
- 07
Scheduling
We set appointment types, durations, booking windows, or a request-capture flow for dispatcher-managed schedules.
- 08
Escalation
We set up who gets transferred calls or priority callbacks, and under what conditions.
Phase 3
Test
Prove it works before callers hear it.
- 09
Internal Testing
We run realistic call scenarios, including edge cases and off-script questions, and fix what needs fixing.
- 10
Client Testing
You call the assistant yourself, try your toughest scenarios and tell us what to change.
- 11
Revisions
We refine wording, answers and rules until you approve the assistant for launch.
Phase 4
Launch & improve
Go live, then keep tuning.
- 12
Launch
The assistant starts handling the approved call scenarios, using the phone setup agreed during build.
- 13
Monitoring
We review call activity and summaries, and adjust answers and rules as real calls come in.
Your part
What We’ll Need From You
Most of the work is ours. We’ll ask for a few things along the way.
- A discovery conversation about your calls
- Your services, hours, service area and common questions
- Who should receive transfers and callback requests
- Access to connect your calendar or CRM, if applicable
- Time to test the assistant and share feedback
- Final approval before launch
